How To Write a Letter Of request

How many times have you sat down to write a letter of request?

The following seven simple steps will help you to write an effective letter of request and to increase the chances of the recipient of your letter agreeing to what you ask them to do:

  1. Tell the recipient why you are writing. 
  2. Give the person you are writing to pertinent information to help them remember who you are. For example, if you are writing to a supervisor, remind the person when you worked with them. 
  3. Briefly explain what it is you want the reader to do (involve deadline). 
  4. Give the reader all the information they need to comply with your request. 
  5. Include any supporting documentation.
  6. List your contact information (full name, e-mail, phone number). Ask the reader to contact you if they have any questions.
  7. Thank the person for their assistance.

When you write your letter of request do the followings:

  • Put yourself in the shoes of the person who will read it;
  • Read your draft letter over a few times to make sure it makes sense; and 
  • Double check and make any changes necessary before you send it out.
